The rules for holding a hybrid conference

Due to the SARS-COV2 pandemic and the ongoing unstable situation in many countries, the International Committee decided to hold the conference in a hybrid format. This format of the conference allows you to combine the presentation of participants who will come in person and will be able to speak at the conference in the conventional format, with the presentation of those participants who will not be able to attend the conference due to the restrictions associated with the pandemic.

The rules for holding a hybrid conference are shown below:

  • Participants who come to the conference will be able to participate in all the events of the conference in the usual format.
  • For participants who will not be able to attend the conference (virtually registered participants), all conference events held in Halls M and C (see Program at a Glance) will be available in real time in video and audio format via the Internet. The address and password for entering the conference electronic platform will be sent to all participants to September 6, 2021. Each of the sessions will be monitored online. A virtual room will be organized for those who observe the conference remotely, where they will be able to ask questions to the speaker in text form. Questions will be voiced by the chairman (co-chair) sessions.
  • For participating in the conference, the full paper must be sent by all participants of the conference to the Organizing Committee within the deadlines set by the Organizing Committee. The science paper should be formatted according to the template provided on the conference website "interactive line with the full paper template ". If the full paper is not submitted or is not correctly formatted, it cannot be accepted for presentation at the conference. «No Paper – no Podium». The papers of the participants will be posted on the electronic platform of the conference and will be available to all participants of the conference in the period from September 6 to September 15.
  • The International Organizing committee divided all papers into two types: "oral" with a performance on the podium in Hall M or C and "poster" with a poster placed on a special stand in Hall B. All virtually registered participants, who present the “oral” paper must record their speech with a duration of no more than 15 minutes in MP4 format or another format that is convenient and accessible to the author, agreed with the Organizing Committee. The recording of the performance must be sent to the Organizing Committee by August 15, 2021. The method of sending the recording of the speech will be communicated to the authors after receiving the full papers. The presentation should contain presentation slides and speech accompaniment in English. Recordings of the participants speeches will be posted on the electronic platform of the conference after their presentation at the section and will be available to all participants of the conference from the moment of their presentation until September 15, 2021. If the recording of the speech is not sent by the conference participant in the "oral" mode within the specified period – the participant will be considered not to have arrived at the conference and his paper will be excluded from the conference materials. «No Video/Podium - no Paper». For virtually registered participants with an “oral” mode papers, they will be given the opportunity to view their presentation at the section in Halls M or A with the presentation of the author by the chairman (co-chairman) of the section. The author will be contacted by a representative of the Organizing Committee via WhatsApp or Zoom (the format of communication will be clarified before July 30) 5-15 minutes before the start of viewing his presentation to confirm the possibility of his participation in the conference. After the broadcast of the recorded speech of the virtually registered participants on the screen in halls M or A, he will be given the opportunity to answer questions from the conference participants in the hall for 5 minutes. Moderation will be carried out by the chairman (co-chairman) of the section. An audio link will be organized for the authors with the opportunity to answer questions from the audience and participants from the online broadcast, which will be voiced by the chairman (co-chairman) of the section. Each speaker provides their contacts (email, phone, etc.), which will be attached to their presentation. Thus, participants will be able to ask questions that were not covered during the presentation. If no communication is established with the virtually registered participants of the conference, his speech will in any case be presented at the conference section in Halls M or A. In this case, the conference participants will be able to ask the author their questions by e-mail or by phone, which will be attached to the paper.
  • For all participants with presentation in the "poster" mode, the posters will be printed by the Organizing Committee and posted in Hall B (see Program at a Glance) before the beginning of the conference. Poster layouts must be sent to the Organizing Committee by July 30. The posters will be printed by laser printer on color photo paper, format A0. Poster layouts will be posted on the electronic platform of the conference and will be available to all participants of the conference from September 6 to September 15. Participants with presentation in the "poster" mode can independently print out their posters and hang them on the stand in Hall B until September 7, having previously notified the Organizing Committee. All participants who has a "poster" mode presentation also have the opportunity to record their speech with a duration of no more than 15 minutes in MP4 format or another format that is convenient and accessible to the author, agreed with the Organizing Committee. The recording of the participants performance must be sent to the Organizing Committee by August 15. The method of sending the recording of the speech will be communicated to the authors after receiving the full paper. The presentation should contain presentation slides and speech accompaniment in English. Recordings of the participants speeches will be posted on the electronic platform of the conference after their presentation at the section and will be available to all participants of the conference in the period from September 6 to September 15. For participants with a "poster" mode presentation, the ability to record a speech is not mandatory, but desirable. During the "poster" section, any participant of the conference will have the opportunity to ask questions to the author in his absence at the poster stand by phone, email, etc., which the author will indicate on the poster. Such communication, in agreement with the author, is also possible at any time during the conference.
  • Each paper and video recording of the authors ' speech will be available on the virtual platform of the conference for registered participants in the period from September 6 to September 15. All participants will receive a flash drive with full papers. The conference participant's briefcase with the conference materials, including the full papers, will be sent by mail to the virtually registered participants.
  • Detailed information about the virtual platform, instructions for downloading information and using the platform will be available on the conference website until July 15.
